The NCBRT Business Office Coordinator is responsible for assisting with administrative functions of the Business Office such as answering NCBRT main phone tree and transferring calls to the appropriate staff member; receiving shipments to the department; paying supplier invoices; overseeing mail distribution; and routing guest travel expenses. Input telecommunications work orders and route monthly long distance charges to staff. Assist instructors in navigating business processes. Act as liaison to Copier Management and complete monthly copier billing. Oversee the office supply inventory and order office supplies as needed. Maintain departmental directory information. Coordinate department events.
Receive departmental shipments, pay supplier invoices from Workday supplier website orders, run reports for outstanding credit card transactions and expense reports, and maintain departmental directory information. Provide assistance to WAEs not located onsite with navigating business processes. Act as departmental liaison to Telecom, Copier Management, Facility Services, Pleasant Hall Building Coordinator, & Mailing Services. Submit telecom work orders, route monthly long distance bills to staff, request long distance codes, complete monthly copier billing, oversee mail distribution, input work orders and conduct space inventory. Maintain office supply inventory and order office supplies as needed, i.e. toner, copier paper, shipping supplies, etc. Responsible for NCBRT coin inventory. Work with special projects coordinators to route guest travel expenses. Assist new hires and WAEs with LaCarte enrollment forms. (60%)
Answer all calls to the NCBRT main phone line and transfer those calls to the appropriate staff member. Answer generalized inquiries regarding NCBRT. (30%)
Schedule and plan NCBRT quarterly staff meetings and other NCBRT staff events at the direction of the Associate Director of Administration and Support and NCBRT Director. Order staff service awards. Responsible for new employee certificates and coins. Serve as back up to the travel coordinator(s). Assist Business Manager, Assistant Business Manager and other Business Office Coordinators as needed. (10%)
Bachelor's Degree and 1 year professional experience. Experience in word processing, spreadsheet utilization, and database entry.
Must meet the University’s minimum qualifications to operate a motor vehicle while conducting LSU business. Must possess a valid US driver's license. Must be a US citizen or lawful permanent resident as required by the Department of Homeland Security.
